Job Description

About the Mahi

Are you organised, people-focused, and ready to be the welcoming face of our new Napier clinic? TBI Health is excited to be opening a brand-new site in the CBD – just a one-minute walk from Marine Parade and surrounded by shops and cafés to enjoy on your breaks.

We are looking for an enthusiastic Clinic Administrator to help us establish this clinic and support both our clients and clinicians. You will work alongside physiotherapists, occupational therapists, and psychologists, while staying closely connected with our wider administration team across the motu.

There may also be the opportunity to provide personal administrative support to an Orthopaedic Surgeon, offering valuable additional experience and variety in the role.

Part-time or full-time hours will be considered. We aim for admin support to be present across all weekdays, with scope to expand hours as the clinic grows and service needs increase.

Your key responsibilities will be:

  • Welcoming and assisting clients in person and over the phone
  • Supporting clinicians with diary and schedule management
  • Processing payments and managing invoicing
  • Purchasing clinic supplies
  • Administering ACC, insurer, and third-party contracts

This is a varied and rewarding role where you will be supported by the Clinic Administration Team Leader and Clinic Manager, with the chance to make the role your own as our services grow.

Desired Skills and Experience

About You

Experience with Gensolve and/or Elixir practice management systems would be an advantage. While two years of administration experience is desirable, it’s not essential. What matters most is your positive attitude and commitment to excellent customer service.

To succeed in this role, you will have:

  • A genuine interest in healthcare
  • Empathy and friendliness toward clients
  • A positive, helpful attitude
  • Excellent communication skills, both internally and externally
  • Strong computer proficiency and accurate data entry
  • Organisational and problem-solving skills
  • Ability to work efficiently and manage time effectively
  • Initiative to lead from an administrative perspective, including diary management
